What is the Job?
This exciting position offers an exceptional opportunity for a dynamic individual to join our estates department, based at our corporate headquarters. As an integral part of the estates team, you will work closely with the estates manager and on-site maintenance engineers spearheading the execution of practices across our portfolio of hotel and commercial properties, upholding our stringent quality benchmarks and delivering outstanding experiences for the guests and clients. You will gain exposure to various facets of property management and receive training across a spectrum of skills. This role empowers you to contribute significantly to delivering outstanding experiences for the guests and clients frequenting our establishments.

About the role
Your day to day
Provide comprehensive administrative support to the Estates team across hotel and commercial sites.
Maintain accurate and up-to-date property records, including leases, compliance certification, warranties, servicing schedules, asset registers, and service contracts.
Log repair and maintenance requests and, with guidance from the Estates Manager, learn to assess and prioritise requests, with the aim of working independently over time.
Coordinate planned and reactive maintenance works, liaising with contractors and site managers.
Raise purchase orders, process invoices, and support budget monitoring for estates-related expenditure.
Assist with procurement processes, including obtaining quotations and maintaining supplier and contractor information.
Use the Estates Management Software to log, track, and monitor:
Planned Preventative Maintenance (PPM)
Statutory servicing and inspections
Reactive maintenance requests
Asset lifecycle and servicing histories
Support monitoring of health, safety, and legal compliance across hotel and commercial properties, escalating issues as required.
Work collaboratively across departments and undertake additional duties appropriate to the role as requested by management.
Support the delivery of Green Tourism and sustainability objectives across the estate.

What you will need
Required criteria
- • Experience in an administrative or support role
- • Experience of managing multiple tasks and deadlines while maintaining attention to detail.
- • Excellent verbal and written communication
- • Experience if working in a team in a fast-paced environment
- • Strong skills in computer applications in Microsoft suite and Cloud applications
Desired criteria
- • Experience in an administrative or support role, preferably within estates, facilities, property, hospitality, housing, or a related operational environment.
