Group Reservations Agent (Full time)
The Rose Hotel is now looking to recruit a full time Group Reservations Agent to deal specifically with all tour groups coming into the hotel
List of main duties for the role:
Sleepers Report
· To compile the daily updated report
Group/FIT Space Requests
· Email requests from Tour Operators/leisure & sports groups on a daily basis
Allocation Blocks
· Updated on a regular basis
Rate Codes
· Updating and Creating Rate Codes
Rating
· Each group on the books to be rated for revenue reports
Washdown
· Washdown applied to groups
Updates
· Daily Sales and Option Group Updates
Rooming Lists
· Each group/FIT bookings/FIT Multiroom to be updated with rooming list
Dining Arrangements
· Dinner and breakfast times to be confirmed
Billing
· Group/FIT billing
Year Ahead
o As new tour group contracts come in for the following year create an allocation block / group for each one.
o Once rates for the next year are agreed the Rate Plan is either updated or created and the rates added.
o Requests for space for next year are sent to the revenue department, if space is available an offer will be sent.
Other daily duties:
o Ensure that all emails are replied to in a professional and courteous manner and filed away appropriately
o Balancing Rooms on Rezlynx
o Answering overflow calls for reservations and ensuring sales and upselling opportunities are maximised on these calls. Covering reservations and reception breaks
About the role
The role is an office based role in the hotel. Mainly working Monday to Friday from 9am - 5.30pm.
We also use Resdiary for the booking of dining times in our restaurant
Working 5 days with 2 days off
On the job training will take place
You will be provided with a uniform - dress and jacket, together with a necklace, rose pin and name badge.
Previous Experience: Ideal candidate must have at least 2 years previous experience in a Hotel Reception or Reservations Role.
Must have previous experience with dealing with tour groups.
Technical Skills: Proven proficiency in Microsoft Word, Excel, and Outlook. Knowledge of a booking system is essential. Familiarity with Rezlynx an advantage.
Language Proficiency: Must be a fluent English speaker with excellent written and verbal communication skills.
Interpersonal Skills: Strong customer service skills essential.
Other languages ; Ability to converse in other languages an advantage.
