An exciting opportunity has arisen for an Administrator to join our family of care homes. As an Administrator, you will be the first point of contact for the Home, welcoming visitors and co-ordinating all front of house activities. Professional presentation and a friendly disposition are therefore essential attributes for this role. Duties will include performing varied administrative tasks as delegated by the Site Manager and Business Support, answering telephone calls in a timely manner and responding to queries and / or referring to relevant personnel. The post holder will also play a pivotal role in assisting the Site Manager and Business Support in all aspects of the running of the Home. This role will be based across three different care homes, all within walking distance of each other.

About the role

Responsibilities:

· Assisting the Site Manager / Business Support with all delegated administrative duties

· Managing e-mail, telephone and post; screening and redirecting as required using own initiative to alert important issues as they rise

· Communicating instructions or requests to various individuals and/or departments, obtaining information required

· Typing and distributing meeting minutes as required

· Prioritising the workload to ensure that key duties are completed in order to support the work of the Home

· Presenting a professional and caring first point of contact for all those who visit or telephone the Home

· Assisting with the Home’s rota/off duty to ensure staffing levels are maintained

· Maintaining all staff personnel files regularly and to a high standard

· Assisting with arranging staff mandatory and individual training sessions

· Supporting the Site Manager to organise staff annual leave, monitor sickness and update the Bradford Factor, staff overtime to ensure the smooth running of the Home

· Undertaking ad-hoc duties as required

Essential Requirements:

· Minimum 2 years’ experience working in a similar administration role

· Professional presentation and positive, friendly demeanour

· Excellent people skills

· Effective communication (written and verbal), interpersonal, literacy and numeracy skills

· Proficiency in use of Microsoft Office applications

· Ability to relate to individuals in a sensitive, dignified and respectful manner

· Ability to work collaboratively with Group wide teams

· Effective Customer Service skills

· Highly organised with ability to multi task and work under pressure

· An understanding of and adherence to Caron Group’s ethos
