Document Controller

Role Summary

As a Document Controller, you will be responsible for maintaining the accurate records of company documentation, from correlating electronic or hard copies of production & project documentation and producing related reports. You will act as a main point of document contact for internal stakeholders, including production, project and site teams, maintaining the document control system, ensuring all paperwork is filed accordingly and accessible to relevant stakeholders.

Main Responsibilities:

  • Liaise with all departments to understand requirements and help restructure contract folders tailored to suit TES Power, and police the restructured folders going forward.

  • Producing and maintaining document registers / TIDPs and tracking document revisions to ensure nothing is missing, duplicated, or superseded.

  • Producing, compiling, and issuing client facing documentation, including technical submissions and final handover / O&M packs, ensuring all documentation is correctly revised, approved, and issued in a controlled manner.

  • Issuing and distributing documents to production and clients once they are approved.

  • Producing regular updates or reports on document status for project teams and management.

  • Supporting the development of procedures for project documentation and ultimately controlling documents in line with those procedures.

  • Acting as the gatekeeper for document issue, ensuring documents are correctly formatted, approved, and at the correct revision prior to issue.

  • Controlling superseded and obsolete documentation to ensure outdated information is removed from shared folders and the shop floor.

  • Coordinating the collection of marked up drawings from production and test, and ensuring these are incorporated into final as built documentation.

  • Acting as the primary point of contact for internal document queries (e.g. latest revision, issue status, document availability).

The Person:

  • A minimum of 12 months relevant experience in a similar position.

  • Production / Manufacturing experience.

  • PC literate with competency in Microsoft Word, Excel, Outlook. 

  • Attention to detail.

  • Strong interpersonal and Organisational skills.

  • Excellent communication skills.

  • Self-motivated, with a 'can-do' approach to work and willingness to learn and assist.

  • Organised and disciplined in your planning and approach to work.

  • Work well and confidently as part of a team in a busy environment.
