About the role
Duties and Responsibilities of the Role:
Assist in the planning and organization of events, including researching venues, suppliers, and other event-related services.
Liaise with vendors, suppliers, and contractors to obtain quotes, negotiate contracts, and ensure timely delivery of goods and services.
Manage event registration processes, handle attendee inquiries, and communicate event details to registered guests.
Coordinate event logistics, such as venue setup, audiovisual requirements, catering arrangements, and transportation.
Provide on-site support during events, including attendee check-in, resolving any issues, and ensuring smooth event operations.
Assist in monitoring event budgets and expenditures, ensuring adherence to allocated funds and cost control measures.
Support event marketing efforts, including promoting events through various channels, managing event listings, and assisting with social media campaigns.
Prepare event materials, such as name badges, event programs, signage, and promotional materials.
Assist in post-event activities, including gathering attendee feedback, conducting evaluations, and preparing event reports.
Collaborate with sponsors, speakers, and partners, ensuring their requirements are met and facilitating their participation in events.
Assist in developing event agendas, managing speakers' schedules, and coordinating session logistics.
Ensure event venues and activities adhere to health and safety regulations and best practices.
Requirements for the role:
Bachelor's degree in Event Management, Marketing, Business, or a related field is preferred.
Proven experience in event planning, coordination, or a similar role is beneficial.
Excellent organizational and time-management skills to handle multiple tasks and deadlines.
Strong communication and interpersonal abilities to interact effectively with team members, vendors, and event participants.
Attention to detail and a commitment to ensuring high-quality event experiences.
Problem-solving capabilities to address challenges that may arise during event planning and execution.
Proficiency in using event management software, online tools, and Microsoft Office applications.
Creative mindset to contribute ideas and enhance event planning and marketing efforts.
Flexibility to work irregular hours, including evenings and weekends, during event periods.
Ability to work well under pressure and in a fast-paced environment.
