Receptionist
An opportunity to play an important role in supporting the ongoing success of the business by creating a professional and welcoming environment for visitors to the Head Office.
Your new role: To provide an efficient, effective and professional service answering incoming calls to the company and transferring to the relevant department.
Working hours: MON – FRI 9AM-5:30PM, ROTATIONAL SATURDAYS 8AM-1PM
About the role
•To maintain a good knowledge of all of Tobermore’s services in order to deal with daily customer queries.
•Meeting, greeting and registering of all clients and visitors at reception and directing them as appropriate.
•Maintaining the highest standards of presentation in the reception area at all times.
•Providing support to general office management including checking tidiness and cleanliness of the reception area and escalating any issues.
•Supporting the arrangements for meetings and other functions, including the preparation of papers, presentations and other materials.
•Processing of all in-coming and out-going mail in accordance with office procedures.
•Responsibility for booking, controlling use and setting-up of meeting rooms and private offices.
•Liaising with suppliers regarding the catering and refreshment requirements for meetings and other functions.
•Act in a confidential and trustworthy manner at all times.
•Carry out tasks as required and deemed within your competence by your manager.
•Communicate any problems, uncertainties or training issues to your manager immediately.
•Deal with customers in a courteous, professional and efficient manner at all times.
•To deal with all client queries – by phone, post, online and face-to-face.
•To carry out administrative duties as required.
•Any other duties as required and as deemed within your competence.
What you will need
Required criteria
- 5 GCSE’s including English & Maths A – C.
- Minimum 1 years’ experience in a similar role.
- Excellent spoken and written communication skills.
- A flexible approach to work.
- Proficient in the use of MS Office.
- Strong multi-tasking and organisational skills.
- Good interpersonal Skills.
Desired criteria
- A-levels.
- Previous Receptionist experience.
- Experience working in a switchboard environment.
- Full and clean driving licence.
