Position Summary:
The Operations and Marketing Administrator supports the delivery of both the group marketing plan and day-to-day operational activity across Snap Ireland.
Reporting to the Group Marketing & Operations Manager, this role is central to keeping campaigns, systems, reporting, quality documentation and administration accurate, organised and on track. You will work closely with Managers and Franchisees across the group, providing practical support, following up actions and ensuring information is up to date.
This role is for someone who enjoys variety, thrives on organisation and wants to develop broad experience across marketing, systems, operations, quality and people administration.

Marketing and Campaign Support
Support delivery of the annual marketing plan, campaign calendar and agreed monthly, quarterly and seasonal activity.
Prepare marketing collateral, campaign materials, email communications, blogs, newsletters, case studies and other approved content.
Keep marketing resources, campaign information and collateral folders in Snap Central accurate and up to date.
Assist with campaign and event lead tracking, follow-up activity and administration in OnePage CRM.
Coordinate practical arrangements for radio, events, workshops, promotional activity and marketing meetings.
Prepare draft marketing updates, campaign-performance information and presentation content for review by the Group Marketing and Operations Manager.
Operations Systems and Reporting
Maintain accurate information in OnePage CRM, PrintLogic, HR Locker, See Me Hired and other group systems.
Act as the first point of contact for routine systems queries; resolve straightforward issues and route more complex matters to the appropriate owner.
Prepare regular sales reports, Sales v Target reports, marketing information and operational dashboards, ensuring data is accurate and shared on time.
Support data hygiene, reporting deadlines, action tracking and follow-up across group systems and operational projects.
Maintain meeting schedules, agendas, action logs and supporting documentation for group, franchisee and manager meetings.
Quality Compliance and Process Support
Maintain controlled ISO and quality documentation, registers, records and version control in line with group procedures.
Coordinate audit preparation, evidence gathering, internal-audit administration and follow-up of agreed corrective actions.
Support the implementation of approved processes, procedures and improvement initiatives across the network.
Help maintain clear operational guidance and training resources so centres can access current information easily.
HR Recruitment and Administrative Support
Coordinate approved recruitment activity, including vacancy advertisements, interview scheduling, candidate communication, reference administration and onboarding arrangements.
Maintain accurate employee records and HR systems, checking that documentation is complete, current and securely held.
Coordinate training records, staff communications, meetings, venues, materials and other operational logistics.
Respond to routine operational, HR and administrative queries, escalating matters that require management input.
Supplier and Finance Administration
Maintain supplier contacts, documents and routine correspondence; support research into pricing and purchasing efficiencies.
Process monthly supplier invoices and update payment information accurately in line with the agreed timetable for management approval.
Assist with approved purchasing, supplier catalogue updates and routine commercial administration.
What you will need
Required criteria
- Experience in the Print industry [Design, Promotional Products, Signage, Events, Marketing materials] is an advantage but not essential.
- Excellent communication skills, professional phone manner and customer focus are essential.
- Strong understanding and ability to ensure standards and processes of Quality [ISO standard], Health, Safety and Environment are upheld.
- Proficient in the use of Microsoft Office suites, Data extraction and ability to run reports as required.
- A strong educational background, fluent in English and a clean driving license. Desire to learn/take feedback.
- Previous experience in an administrative role, preferably within Operations, HR or Marketing.
