Executive Assistant, Acocks Green, £30,000 Per Annum, Full Time Office Based

This is not a traditional admin role. It’s a pivotal Executive Assistant position supporting our Operations Directors within a fast-paced, purpose-driven care organisation.

As Executive Assistant, you will sit at the centre of our operational leadership function, providing high-level, proactive support to ensure our Operations Directors can focus on strategic delivery, service quality, and growth. You will act as a trusted partner — managing priorities, coordinating complex information, and ensuring accuracy, flow, and follow-through across the business.

You’ll work closely with senior leaders, external stakeholders, and frontline teams, contributing directly to the effective running and continuous improvement of services supporting people with complex mental health needs and learning disabilities.

About the role

Key Responsibilities

  • Provide comprehensive, proactive executive support to Operations Directors, including diary management, prioritisation of actions, and preparation for meetings

  • Act as a central coordination point for operational communications, including monitoring and managing referral portals, business development and operations inboxes

  • Maintain and oversee critical trackers, service descriptors, vacancy lists, and performance data to ensure accuracy and timely reporting

  • Prepare agendas, papers, briefings and minutes for senior meetings, ensuring clear actions and follow-up

  • Coordinate internal meetings, rotas, and operational documentation across services

  • Support onboarding processes for new starters, including compliance checks, ID badges, and liaison with internal teams

  • Manage document control: uploading, filing, archiving, and maintaining internal systems and shared drives

  • Liaise professionally with commissioners, social workers, care teams, and external partners

  • Support cyclical operational activities such as KPI reporting, audits, health & safety checks, and training coordination

  • Identify opportunities to improve processes, systems, and ways of working within operations

What We’re Looking For

  • A highly organised, detail-driven Executive Assistant or senior administrator with proven experience supporting senior leaders

  • Degree-level qualification preferred, or demonstrable equivalent experience in executive, operations, or business support roles

  • Exceptional organisational skills with the ability to manage competing priorities and work autonomously

  • Strong written and verbal communication skills, with confidence engaging at senior and external stakeholder level

  • Excellent judgement, discretion, and ability to handle sensitive and confidential information

  • Technically confident — strong experience using spreadsheets, databases, and cloud-based systems

  • Experience within health, social care, regulated, or complex operational environments is highly desirable

  • A proactive, solution-focused mindset with a commitment to continuous improvement
