Warranty Administrator - Volkswagen Group

As a Volkswagen Group Warranty Administrator, you will be responsible for the accurate and efficient processing of warranty claims in accordance with Volkswagen Group policies and procedures. This includes the submission, tracking, and reconciliation of claims to ensure maximum reimbursement while maintaining compliance with all warranty standards.
About the role
Key Responsibilities
· Process and submit warranty claims accurately and on time using Volkswagen systems.
· Review repair orders for completeness, accuracy, and policy compliance.
· Track claim statuses, follow up on pending claims, and resolve rejections or denials.
· Stay current with Volkswagen warranty policies, technical bulletins, and recall campaigns.
· Work closely with technicians and service advisors to ensure proper documentation and diagnostics.
· Prepare and maintain records for warranty audits and compliance reviews.
· Communicate with Volkswagen warranty representatives to resolve claim and policy issues.
· Assist with goodwill requests and warranty-related technical queries.
· Maintain organised records of all warranty submissions and correspondence.
· Provide training or guidance to service staff on warranty procedures as required.
Candidate Requirements
Experience in warranty administration (Volkswagen or VAG brands preferred).
Familiarity with VW systems desirable.
Strong attention to detail and accuracy.
Excellent organisational and communication skills.
Proficiency in Microsoft Office.
Ability to work independently and under pressure.

What you will need
Required criteria
- Minimum of two years in an administrative role
- Experience in a busy and demanding environment
- Good organisation and time management skills
- Excellent attention to detail and time management
- Strong IT skills, knowledge of the Microsoft suite, previous experience with a CRM system would be an advantage
- Knowledge of claims processes, in particular warranty or finance concerns would also be an advantage
- Knowledge of the motor industry would be an advantage, but is not essential as full training will be provided
- Strong problem solving ability to identify and resolve issues in a professional and empathetic manner
