Ulster Garden Villages Ltd is one of Northern Ireland’s largest charitable and philanthropic organisations. It generates its income via a portfolio of over 300 housing units in the Greater Belfast area as well as via an investment portfolio. It awards around £1-1.5 million in grants annually to a wide range of charitable causes, mainly in Northern Ireland. The projects are in the areas of health, community, scientific and medical research, culture, heritage, and the arts. The Committee of Management has overall responsibility for the direction of the Charity.

About the role

A fantastic opportunity has arisen to join Ulster Garden Villages Limited as Grants & Administration Coordinator. Reporting to the Chief Executive Officer, the Grants & Administration Coordinator role requires a self-motivated professional who enjoys working with people. The individual will work as part of a small team of staff to support the administration of grants as well as more broadly across the team.

Key responsibilities

The Grants & Administration Coordinator will provide support to the CEO, Chair and Committee of Management, Finance and Property Manager. Processing incoming and outgoing correspondence, responding to relevant telephone and email enquiries in a timely and professional manner.

Assessing the eligibility of applications for grants and record on Salesforce grant management system, verify all grant conditions are met and the necessary documentation has been received and oversee that grant payment schedules and make payments in a timely way.

The successful applicant will also be required to undertake reception duties and coordinate hospitality for meetings of the Committee of Management, sub-committees and visitors as and when required. Attendance at internal meetings and minute taking

The post holder will be expected to adapt to changing circumstances and undertake other duties appropriate to the grade of the post as allocated by your line manager as part of working in a small team.

What you will need

Required criteria

  • Do you have a minimum of Grade C or above Math & English (or the equivalent)?
  • Do you have at least one years’ experience working in an office environment?
  • Excellent IT Skills, Microsoft office, databases/CRMs, emails
  • Do you have a knowledge of maintaining confidentiality and observing data protection legislation
  • You must have professional communication skills both written and verbally
  • You must be able to work as part of a small team
  • The ability to work contracted hours flexibly according to the needs of the organisation
  • Willingness to undertake additional training and personal development according to the needs of the position

Desired criteria

  • Third Level Qualification
  • At least one years’ experience working in a related field (grant funding or the voluntary sector)
  • At least 1 years’ experience overseeing grant payment schedules and making payments.
  • Knowledge of the community and voluntary sector through paid employment or volunteering.
  • Experience of working with a development/CRM database system or a willingness to learn
  • Full valid Driving license
