Ardmore Medical Practice is seeking an experienced, motivated and highly organised Practice Manager to oversee the effective day-to-day management of the practice, serving approximately 7,000 patients in the greater Dungannon area.

Reporting to the GP Partners, the successful candidate will provide strategic and operational leadership across all aspects of practice management, including finance, human resources, clinical governance, patient services, premises and information technology.

The practice has an established reputation for providing an efficient, friendly and patient-focused service. We are looking for a proactive individual with excellent communication and leadership skills who can support our team in maintaining high standards of clinical care and patient satisfaction within an increasingly challenging primary care environment.

The successful candidate will have strong organisational and problem-solving abilities, sound financial awareness and the confidence to manage staff, resources and competing priorities effectively. They will also demonstrate an understanding of the contractual and operational demands facing general practice and the ability to identify opportunities for service development, improved efficiency and financial sustainability.

Previous experience in a GP practice or the wider Health and Social Care sector would be advantageous, although we place significant importance on professional attitude, leadership capability and the ability to adapt to change.

Applicants should have strong IT and administrative skills, excellent written and verbal communication abilities, and experience in staff management and financial administration. A degree-level qualification, a relevant management qualification or experience using GP clinical systems would be desirable.

This is an excellent opportunity for a committed professional to play a key role in the continued development and successful running of an established GP practice.

About this role

The Practice Manager will report to the GP Partners and be responsible for the effective management and development of the practice, ensuring the efficient use of staff, finances, premises and equipment while maintaining high standards of patient care.

Key duties and responsibilities include:

  • Practice operations and development: Oversee the daily running of the practice, develop and implement practice policies, prepare development plans and reports, and identify opportunities to improve services and operational efficiency.

  • Leadership and human resources: Manage and support administrative, reception and practice-employed nursing staff; coordinate recruitment, induction, training, staff rotas, appraisals and performance management; and ensure compliance with employment legislation and good employment practices.

  • Financial management: Manage practice budgets, monitor income and expenditure, maintain accurate financial records, oversee payroll and payments, reconcile accounts, prepare financial reports and identify opportunities to maximise income and achieve value for money.

  • Contractual and partnership responsibilities: Support the GP Partners with partnership administration, meetings and decision-making; monitor contractual and legislative changes; and ensure the practice meets relevant General medical services (GMS) and Clinical Care Domain Guidance (NICAF) and enhanced service requirements.

  • Clinical governance and risk management: Coordinate clinical and organisational audits, support quality improvement initiatives, maintain risk management procedures, oversee health and safety, and coordinate the reporting and follow-up of Serious Adverse Incidents.

  • Patient services and engagement: Oversee reception and patient-facing services, maintain confidentiality, manage the practice complaints procedure, monitor patient satisfaction and develop systems for patient feedback and service improvement.

  • Premises and equipment: Ensure the practice premises are safe, secure and well maintained; oversee equipment and supply requirements; manage maintenance schedules; and coordinate premises or equipment improvement projects.

  • Information technology and data protection: Oversee practice IT systems, records management, data security, backups and disaster recovery arrangements; maintain accurate practice information; and ensure the practice website remains up to date.

  • Reporting and communication: Provide regular management reports and updates to the GP Partners, communicate effectively with staff and external organisations, and ensure actions arising from meetings and audits are completed within agreed timescales.

  • Service improvement and resource management: Monitor staff workloads, identify training needs, manage available resources effectively and implement practical solutions to support the long-term sustainability and development of the practice.

The post holder will also undertake other reasonable duties appropriate to the role and level of responsibility as required by the GP Partners. The responsibilities may be reviewed in response to changes in practice requirements, primary care policy and the wider Health and Social Care environment.
