Business Support Co-ordinator

About the Role

We are seeking a highly organised and proactive Business Support Co-ordinator to play a pivotal role in supporting business operations, strategic initiatives, and project delivery across the organisation.

This is a varied and fast-paced position that combines business coordination, project support, event management, meeting administration, and executive support. You will work closely with the CEO, senior leaders, and key stakeholders across the business to ensure actions are tracked, projects remain on schedule, and meetings and events are delivered successfully.

This role is particularly suited to someone looking to develop a career in project management, business operations, or organisational leadership while gaining exposure to strategic initiatives across the organisation.

Key Responsibilities

Business Action Tracking

  • Maintain and manage a central action tracker for leadership, management, and governance activities.

  • Monitor progress on actions and follow up with stakeholders to ensure completion.

  • Escalate overdue or at-risk actions where appropriate.

  • Prepare action status reports for leadership and governance meetings.

  • Maintain accurate records of decisions and outcomes.

Meetings, Training & Room Coordination

  • Coordinate meeting room and training room bookings across multiple locations.

  • Organise meeting and training logistics, including room setup, materials, technology requirements, and catering.

  • Manage shared calendars and booking systems.

  • Prepare agendas, capture meeting actions, and distribute minutes promptly.

  • Act as the main point of contact for booking and scheduling queries.

Events Coordination

  • Plan and coordinate internal and external events, including staff events, training days, conferences, and stakeholder engagements.

  • Manage event logistics, suppliers, venues, and budgets.

  • Coordinate invitations, event timelines, and day-of-event activities.

  • Conduct post-event reviews and identify opportunities for improvement.

CEO & Executive Support

  • Provide coordination and scheduling support for CEO-level meetings.

  • Prepare agendas, meeting documentation, and action trackers.

  • Coordinate logistics for Board and senior leadership meetings.

  • Support the preparation and formatting of reports, presentations, and business documents.

  • Act as a liaison between the CEO's office and departments across the organisation.

Project & Business Coordination

  • Support the planning, coordination, and delivery of projects and strategic initiatives.

  • Monitor project timelines, deliverables, and risks.

  • Maintain documentation, governance records, and reporting trackers.

  • Assist with scheduling and resource planning across multiple projects.

  • Support organisational engagement and strategic alignment initiatives.

Continuous Improvement

  • Identify opportunities to improve business processes and ways of working.

  • Develop and maintain templates, trackers, and coordination tools.

  • Promote consistent governance and coordination practices across teams.

About this role

About You

Essential Requirements

  • 1 to 3 years' experience in a business support, administration, coordination, project support, or operations role.

  • Excellent organisational and time management skills.

  • Strong attention to detail and ability to manage multiple priorities.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office, including Excel, PowerPoint, Teams, and SharePoint.

  • Experience coordinating meetings, events, logistics, or scheduling activities.

  • Ability to build effective working relationships with stakeholders at all levels, including senior leadership.

Desirable

  • Experience coordinating large-scale events, training programmes, or business meetings.

  • Exposure to project management methodologies and tools.

  • Experience supporting governance, reporting, or business transformation activities.

  • Qualification in Business, Project Management, Operations, or a related discipline.
