About this role
Job purpose
As Buying Assistant, you will be the operational backbone of the buying function — supporting buyers in managing supplier relationships, maintaining accurate purchase order records, and ensuring goods are ordered and tracked efficiently from placement through to delivery.
Key responsibilities:
Load, raise and manage purchase orders accurately across internal systems, ensuring all details are correct and up to date
Resolve issues with barcode rejections in a timely manner to ensure efficiency in getting the product to the shopfloor
Complete online templates with all the necessary information and source hi res images for online website
Support buyers with day-to-day administration including supplier correspondence, product issues, and report preparation
Maintain and update product data, pricing and supplier information within company systems
Act as a point of contact for suppliers/central warehouse/branches to confirm order acknowledgements, delivery dates and resolve any discrepancies
Event preparation – promotions, price changes, ensuring this is done in an accurate and timely manner
Prepare reports for use in the business via in-house systems as requested by buyers and/or senior leadership team
Coordinate with retail, warehousing and finance teams to ensure efficiency and accuracy in product set up and invoice processing
Follow faulty product procedures, report these to suppliers and raise credit claims when necessary
Monitor delivery schedules and escalate delays or issues to the relevant buyer in a timely manner
Assist in sourcing administration - including raising new supplier paperwork, onboarding documentation, and compliance checks
The ideal candidate will have:
· Excel knowledge is essential — you must be confident with basic excel formulas
· Strong attention to detail
· Excellent organisation skills & ability to multitask and prioritise
· Experience in an admin or buying support role is desirable
