Role Overview

The Office Administrator provides reliable day-to-day administrative and commercial support across Kindred Clearviews business. The role has a particular focus on raising and processing work orders, issuing invoices, maintaining accurate records and liaising professionally with clients and internal teams. The postholder will manage multiple priorities, work accurately to deadlines and help ensure that core office processes run efficiently.

Duties and Responsibilities

Order and Invoice Administration:

  • Raise and process purchase orders accurately and in a timely manner.

  • Managing and planning work diaries.

  • Planning operative work schedules.

  • Prepare, issue and distribute customer invoices.

  • Maintain accurate records of orders, invoices and supporting documentation.

  • Assist with resolving work bill and invoice discrepancies promptly and professionally.

  • Maintain customer and supplier information within internal systems.

  • Produce and update spreadsheets, reports and administrative records.

  • Support credit control and finance administration where required.

Client Liaison:

  • Liaise with clients regarding work orders, invoices, queries and general account administration.

  • Respond to client enquiries professionally by telephone and email.

  • Work closely with internal departments to ensure work bills and invoices are processed correctly and on time.

  • Provide clear updates to clients and colleagues, taking ownership of queries through to resolution.

Office Administration:

  • Coordinate general office administration, including filing, document management and correspondence.

  • Assist with meeting arrangements, diaries and general business support when required.

  • Ensure company records and documentation are maintained accurately and confidentially.

  • Provide general administrative support to management and the wider team.

  • Identify opportunities to improve administrative processes and working practices.

  • Undertake any other reasonable administrative duties required by the business.

Minimum Requirements:

  • Previous experience within an administration, office support, sales administration or similar role.

  • Ability to reliably commute to the job location.

  • Good standard of English, although English does not have to be a first language.

  • Ability to commit to the required working times.

What you will need

Required criteria

  • Experience raising purchase orders and/or issuing invoices.
  • Strong attention to detail with a consistently high level of accuracy.
  • Confident and professional telephone and email manner, with strong customer service and client liaison skills.
  • Strong organisational and time-management skills, with the ability to manage multiple priorities effectively.
  • Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel.
  • Good standard of written and verbal communication.
  • Ability to reliably commute to the job location.

Desired criteria

  • Experience using accounting, CRM, ERP or order-processing systems.
  • Previous experience supporting finance administration or credit control activities.
  • Experience working in a fast-paced, multi-client or service-led environment.
