Spa Receptionist

Killeavy Castle Estate is seeking Spa Receptionist for this award winning 4-star hotel. 


Experienced and motivated Spa Receptionist to join our team.  In your role of Spa Receptionist, you will be responsible for the day-to-day operation of the Spa reception reporting directly to the Spa Reception Supervisor and Spa Treatment Manager. Responsible for ensuring the constant delivery of the core mission and values of Killeavy Castle Estate. 

Role Objective;

Working as part of the operational team, the Spa Receptionist will provide the highest levels of Customer Service and ensuring the efficient Customer journey to the Hotel customers.

About the role

Key Duties include;

  • Ability to answer any queries that guests may have on the Estate facilities.
  • Be flexible regarding working hours during Monday to Sunday and be adaptable to work beyond scheduled hours if business levels demand.
  • Have an understanding of what it takes to exceed guest expectations by providing first class standards of presentation, health and safety and customer care.
  • Ensure guests receive a warm welcome to the premises and providing a high level of hospitality, showing guests through to the relaxation areas.
  • To check-in guests and complete consultation forms prior to commencing treatments.
  • A good eye for detail and a desire to take responsibility, through to resolution, for issues and concerns generated by our guests.
  • Ensure reputation is upheld with professionalism and internal standards.
  • Have an in-depth knowledge of all treatments that the Spa offers and be able to explain and upgrade them to the guests.
  • Ensure Open-up and Close-down are completed correctly in line with SOP’s.
  • Ensure the reception desk is manned at all times.
  • Ensure the booking dairy is populated correctly with staff rotas, lunches and other designated duties.
  • Ensure that all bookings are confirmed and booked in such a way to maximise in revenue.
  • To be conversant in the use of the companies’ telephone and computer systems.
  • Handle all departmental floats as required, maintaining high levels of security whilst ensure billing is correctly done to the agreed standards.
  • To be accurate in till operations and cash-up procedures.
  • Ensure there are sufficient stocks of laundry and retail products at all times.
  • Proactive positive attitude and ability to communicate effectively at all levels.
  • Being aware of all sales outlets within the establishment and trying at all times to promote these to guests.
  • Ensure the reception area is clean and tidy at all times and well stocked.
  • Ensure relaxation room, pre-treatment room, changing and thermal facilities are kept clean, tidy and fully stocked.
  • Comply with the company standards and operation procedures manual.
  • Assist other departments/ duty manager with any reasonable requests.
  • Ensure there is an accurate hand-over at the beginning and end of each shift.
  • Report any complaints or faults to the manager and ensure that they are logged.
  • Effective communication with other employees to ensure the day-to-day business runs smoothly.
  • Attend all meetings as and when required.
  • Ensure good communication with all Spa staff.
  • Remain constantly aware of security and report or act any suspicious event or person.
  • Ensure reception, treatment and thermal areas are secure at the end of day.
  • To maintain the highest standard of personal hygiene, appearance, and dress at all times.
  • To ensure the correct uniform is worn, having been cleaned and ironed regularly.
  • Be polite and approachable to all guests and other staff members.
  • To be punctual at all times especially for treatments and arrival to work times.
  • Maintain good working relationships with all colleagues.
  • To maintain an awareness of all Health and Safety requirements, as outlined in the Staff Handbook and internal policies.
  • To ensure awareness of the Estates fire procedures and the use of firefighting equipment.
  • To understand and follow the Estates emergency evacuation procedures.
  • Other duties as required and requested by management.

What you will need

Required criteria

  • One years’ experience of working in a Front of House / Hospitality role (spa preferably)
  • Self-motivated and have the ability to prioritise work.
  • Excellent interpersonal skills.
  • Be fluent in both written and spoken English.
  • Working knowledge of the Internet and Microsoft Office and associated bookings systems
  • Ability to work on your own initiative.
  • Have the ability to multi-task in a fast-paced environment.
